Job Description

Position Duties:

  • Provide administrative/clerical support for the Connected Vehicles and Services (CV&S) Director
  • Support Director with all Ford systems – e-mail (including monitoring for upper management or urgent e-mails when he is out of the office), ensuring timely approval of overtime, prompt handling of signature requests, voicemail, HR's online system, timekeeping, and cell phone requests, etc.
  • Ensure timely and efficient management of heavy meeting schedule resolving meeting conflicts as needed
  • Work across Product Development, IT, Marketing Sales & Service and Ford Smart Mobility teams to coordinate key connectivity meetings
  • Schedule meetings, often involving global personnel, encompassing the use of audio / WebEx
  • Coordinate domestic and international travel and process travel expense reports
  • Responsible for general office management and organization including maintaining office filing system, managing incoming and outgoing mail, e-mail correspondence, ordering supplies, and Corporate Credit Card (VISA) reconciliation
  • Provide high quality word processing, including org charts, reports, correspondence, Excel spread sheets, and Power Point presentations
  • Represent office in a professional manner on phone, e-mail, and in person and interface effectively with other Administrative Assistants
  • General administrative duties including faxing, filing, scanning, copying, meeting planning, typing performance reviews, compiling department absences and vacations, ordering office supplies, etc.
  • Ability to maintain confidentiality and deal with sensitive information
  • Maintain and follow-up on assignments and request information as required
  • Key contact for departmental issues that arise
  • Handle annual review of files for record retention, including creating & maintaining Department Records Inventory Matrix and Emergency Contact List
  • Support Human Resources
  • Provide backup support as requested by executive director’s office

Minimum Qualification:
  • High school degree
  • 5+ years of processional experience in an office environment as an administrative assistant, analyst, technical position or engineer


Preferred Qualifications:
  • Bachelor’s degree is strongly preferred
  • Superior organizational, administrative, proofreading and interpersonal skills
  • Proficient in MS Word, Excel, Power Point, Outlook
  • Excellent oral and written communication skills, team oriented
  • Ability to make decisions and handle difficult and confidential issues
  • Proactive in resolving problems
  • Ability to work under pressure and handle time constraints while multi-tasking
  • Willingness to take initiative, prioritize assignments, and work through interruptions with minimal supervision
  • Very detailed oriented
  • Highly motivated and well organized
  • Excellent follow-up skills
